Application to Host the 2014 NCIHC |

| Guidelines: |
|
| The National Conference on Immunization and Health Coalitions (NCIHC) is a gathering of coalition leaders, staff and board members; public health workers and experts; and community advocates. The conference occurs every two years and is the product of a national volunteer planning committee. The Planning Committee works closely with a local organization to host the meeting. Historically, attendance at the meeting ranges between 200 and 400 participants and there are 2 ½ days of expert presentations and peer learning opportunities. Not only is the Host Organization supported by the Planning Committee, there is an experienced Program Committee and an experienced Fiscal Organization to manage nationally-based major grants. |

| The Host Coalition will be responsible for coordination of the NCIHC Planning Committee. Tasks will include: |

Scheduling meetings and subcommittee meetings by teleconference |
|
|
|
| • |
|
Managing local logistics |
|
|
|
| • |
|
Developing budget (with help from Planning Committee and Fiscal Organization) |
|
|
|
| • |
|
Managing registration |
|
|
|
| • |
|
Marketing |
|
|
|
| • |
|
Managing exhibitors |
|
|
|
| • |
|
Managing scholarships (creating application process) |
|
|
|
| • |
|
Developing a printed program |
|
|
|
| • |
|
Printing materials |
|
|
|
| • |
|
Managing attendee list |
|
|
|
| • |
|
Leading the discussion to select the site for NCIHC 2016 |

| Host organization eligibility criteria: |
|
| • |
|
Ability to accept donations on behalf of the conference (if need be); either as a 501 (c) (3) or through a fiscal agent. (Most grants will go through the Fiscal Organization.) |

|
|
| • |
|
Operating for at least two years. |
|
|
|
| • |
|
Minimum budget of at least $75,000 annually. |
|
|
|
| • |
|
Minimum 1 paid staff person with ability to identify a backup for primary staff if need be.
|
|
|
|
| • |
|
Ability to have 1 staff person dedicated to conference 1/5 of the time in first year and 1/3 of the time in second year. (May include funding for this in the budget)
|
|
|
|
| • |
|
Ability to have at least one staff person available for all NCIHC calls. |
|
|
|
| • |
|
Ability to set up conference website (using a contractor is acceptable.)
|
|
|
|
| • |
|
Ability to develop a budget. |
|
|
|
| • |
|
Availability of 12 local volunteers for actual conference. |
